Pair an EFTPOS terminal with Linkly Cloud

Last updated

MenuPay takes card payments through Linkly Cloud. Pairing tells Linkly that a particular EFTPOS reader belongs to your venue, so MenuPay can send sales to it. You do this once per reader, and you can take payments straight afterwards - there is nothing to restart and no settings file to edit.

Before you start: you need your Linkly username and password, the EFTPOS reader itself, and a MenuPay account with manager or owner access to the venue.

Pairing, step by step

  1. Register the EFTPOS reader. In the sidebar, open Terminals and select the Card Terminals tab. Choose Add Card Terminal and give the reader a name, its model (for example PAX A910s) and, optionally, its serial number. The name becomes the reader’s POS ID with Linkly, so use something you will recognise on a statement.
  2. Get the pair code from the PIN pad. On the PIN pad itself, open the pairing menu - where this sits varies by model - to display a 6-digit pair code. The code is short-lived, so generate it when you are ready to enter it, not before.
  3. Pair the reader with Linkly. Back in the admin portal, choose Pair with Linkly on the reader you registered. Enter your Linkly username (your client number), your Linkly password, and the 6-digit pair code from the PIN pad. Tick Sandbox only when pairing a test reader against Linkly’s sandbox; leave it unticked for a live one.
  4. Confirm the reader is paired. The reader’s card now shows a green Linkly Paired badge with its POS ID and the date it was paired. If it still shows Not Paired, the pairing did not complete - see troubleshooting below.
  5. Link the reader to a POS terminal. Open the POS terminal that should use this reader and link it to the paired card terminal. Until you do, card payments on that POS refuse with “Card payments are not enabled on this terminal. Please link a paired card reader first.”

If something goes wrong

The PIN pad shows “pairing failed”. The pair code was wrong, or it expired before you submitted it. Generate a fresh 6-digit code on the PIN pad and pair again straight away.

The reader still shows “Not Paired”. The pairing request did not reach Linkly, or the credentials were rejected. Check the Linkly username and password, confirm the reader has network access, and confirm the Sandbox checkbox matches the reader you are pairing.

“Card payments are not enabled on this terminal”. The reader is paired, but no POS terminal is linked to it yet. Complete step 5.

“The linked card reader is not paired or is inactive”. The reader was deactivated, or its pairing was cleared. Re-pair the reader, or reactivate it from the Card Terminals tab.

Re-pairing a reader

You can pair a reader again at any time - choose Re-pair on its card and repeat steps 2 and 3 with a fresh pair code. Re-pairing replaces the previous pairing, so do it if the reader moves between venues, if it is replaced, or if card payments start failing to authenticate.
